How GoHighLevel Automated Billing Works
A missed invoice costs more than late payment. It costs the follow-up email nobody wants to send, and sometimes the client relationship behind it. GoHighLevel automated billing fixes that by moving recurring charges, subscription changes, and payment follow-up into workflows that run without anyone watching a calendar.
Three things make it work: a way to send bills on a schedule, a way to catch subscription and payment events as they happen, and a way to package all of it for agencies that resell GoHighLevel to their own clients.
How GoHighLevel Automated Billing Handles Recurring Invoices
The core piece lives inside workflows, through the Send Recurring Invoice action. Add it to a workflow and GoHighLevel starts generating invoices on a schedule instead of waiting for someone to build one from scratch each billing cycle.
Before any of that fires, two things need to already exist: an invoice template built under Payments, and a connected payment gateway such as Stripe, the same prerequisite covered in our breakdown of recurring payments. Without the gateway, there's nothing to charge the invoice against.
Once those are in place, the action itself comes down to a handful of settings:
- An Action Date, which starts billing the moment a contact enters the workflow, or a Fixed Date tied to the calendar
- Daily, weekly, monthly or yearly frequency
- A stop rule of Never, or After a set number of occurrences, useful for installment plans
- Auto-Pay, which stores the card from the first successful charge and uses it for every invoice after
You can also set how many days ahead the invoice goes out, and whether it arrives by email, text, or both.
A test mode lets you run the sequence once before it's live. The payment gateway you connected is what processes the charge when Auto-Pay fires.
Letting Workflows React to Subscriptions and Payments
Scheduled invoices cover the sending side. The Subscription trigger covers what happens around it, firing a workflow when a new subscription starts, when a trial converts to active, or when a customer cancels.
Filter it by product or by status, and the same trigger drives different outcomes: a welcome sequence when a trial converts, a win-back campaign when someone cancels, an internal alert when a high-value plan changes hands.
Payment events get their own trigger. The Payment Received trigger fires on invoices, calendar bookings, memberships, forms, funnels and manual entries, so a confirmation text or a fulfillment alert goes out the moment money lands, regardless of where the charge started.
The same trigger is also where failed-payment recovery lives. A declined card can kick off a retry sequence instead of sitting in a report nobody checks until the client asks why their access stopped working.
Turning Automated Billing Into a SaaS Offer for Your Own Clients
Agencies reselling GoHighLevel use the same automation one layer up, through the SaaS Configurator. It packages platform access into a recurring SaaS plan, built on either a Stripe-based setup or an agency sub-account model, depending on which billing architecture the agency already runs.
After a client checks out, the configurator takes over. It provisions the subscription, creates or links the sub-account, applies the snapshot that sets the client's account up correctly, and keeps billing records in sync when a client upgrades or downgrades.
Provisioning and invoicing happen on the same event instead of two separate jobs someone has to remember to connect, which is what makes it possible to run a SaaS business on top of GoHighLevel rather than billing clients one at a time.
None of these pieces need to be rebuilt from scratch. An agency running white-label support for its own clients can lean on the same recurring invoice and subscription triggers covered above instead of maintaining a second billing system on the side.
