How GoHighLevel Messenger Actually Works

Connect a Facebook Page to a sub-account and GoHighLevel Messenger starts pulling those conversations into the same Conversations tab that already holds your SMS and email threads. Getting there, though, depends on permissions that live outside GoHighLevel entirely, on Facebook's own settings pages.

Connecting GoHighLevel Messenger to Facebook and Instagram pages

HighLevel's own messaging setup guide lists the checks that have to pass before Facebook messaging works inside a sub-account. LeadConnector needs access to send and read messages for the page, verified under Business Tools in Facebook's own settings.

The account doing the connecting needs full page access with message permissions too. Facebook Messenger then has to be switched on inside the sub-account, under Settings, in the Integration tab's Facebook card.

Instagram asks for one more step on top of that. The Instagram account has to appear in the page's connected assets list before HighLevel will let you flip the Instagram messaging toggle.

Skip any one of these checks and the channel simply never shows up as an option.

That shows up directly in the chat widget builder, where you can't select Facebook Chat or Instagram Chat as a widget type unless a matching account is connected.

This widget differs from GoHighLevel's own live chat widget. It redirects a visitor to Messenger or Instagram DM instead of opening a thread on your site, and the visitor needs to already be logged into that Meta account or a login screen opens first.

Getting the underlying permissions right the first time is usually the difference between a clean GoHighLevel setup and weeks of chasing access errors.

What the Facebook Interactive Messenger workflow action can do

Once a page is connected, the Facebook Interactive Messenger workflow action automates the replies themselves. It sits inside Workflow Builder under Actions, Communication, and needs a Facebook comment or message trigger to fire at all.

Instagram runs on a near-identical action, but the two aren't quite interchangeable. A side-by-side of what each one actually allows:

What you're buildingFacebook Interactive MessengerInstagram Interactive Messenger
Buttons and quick replies togetherAllowed in the same message, alongside file attachmentsPick one or the other; quick replies drop out entirely once an attachment is added
Trigger required to unlock the actionAny Facebook comment or message triggerSpecifically an Instagram Comment on Post or Customer Reply (Instagram) trigger, or the action stays unavailable
Button limitUp to 3 persistent buttonsNot separately documented
Wait step before the no-reply branch firesConfigurable1 minute by default, routing to a Default Timeout branch

Quick replies cap out at 13 on the Facebook side and disappear once a contact taps one, where buttons stay put on the message.

Building a workflow that branches cleanly off either one is the kind of GoHighLevel automation that's easy to sketch and fiddly to get firing right on the first try.

The 24-hour window that catches agencies off guard

Both actions run into the same ceiling: Meta's messaging policy. HighLevel states it plainly for Facebook. Outbound messages can only go out within a day of a contact's last interaction with the page, and a workflow message sent after that window may simply not arrive.

Instagram carries an identical restriction. Neither platform treats a missed window as a delivery error worth surfacing.

The message just doesn't land. A workflow built without that limit in mind looks like it's working right up until a lead goes quiet and the follow-up never reaches them.

SMS and email don't carry this constraint, which is why a Messenger-only follow-up sequence is the wrong design for anything meant to run past that first day.
