GoHighLevel Missed Call Text Back: How It Works
A call that goes unanswered doesn't have to end there. GoHighLevel missed call text back fires an automatic SMS the moment an inbound call rings out, so the caller has something back in their pocket before they've even decided whether to try a competitor instead.
The feature lives inside the phone system settings rather than a separate app. Switching it on doesn't require building a workflow first.
HighLevel's own write-up on the feature puts a number behind why that matters. It notes that 62% of calls made to small businesses go unanswered, which is most of the inbound volume a growing business never gets the chance to act on.
How GoHighLevel missed call text back actually works
You write the message yourself, and it can carry dynamic fields like the caller's name. Those placeholders only populate when the system already recognizes the number from an earlier interaction, according to GoHighLevel's documentation on the feature.
A number calling in for the first time gets a generic reply instead, since there's no name to pull.
A typical message reads something like "Hey {{contact.name}}, sorry we missed your call! We'll get back to you ASAP", swapped out for whatever tone fits the business.
You can send a test text to your own phone before saving.
You can also attach a custom voicemail recording in mp3 or wav format, for calls that reach voicemail instead of simply ringing out.
Setting the timeout and the sending number
Configuration sits under Settings, then Phone System, then Voice, under Voicemail & Missed Call Text Back. A slider controls how long a call rings before it counts as missed, with GoHighLevel recommending somewhere between 10 and 20 seconds.
Set it too short, and a caller who was about to pick up gets a text mid-ring. Leave it too long, and the lead has already moved on by the time the message arrives.
Which number the text comes from isn't something you choose per message. GoHighLevel resolves it through a fixed order:
- The number the caller actually dialed, if it's SMS-capable
- A number that has texted that contact successfully before
- The account's default outbound number
- Any other eligible messaging number on the location
Getting that right across several numbers on a multi-location account is the kind of detail a proper GHL setup and configuration pass catches before it turns into a client complaint.
Where a plain toggle stops being enough
The base feature has real limits. It fires on every missed call, including a second one minutes after the first, and each text counts against the account's messaging allowance.
Sending requires at least one number that's A2P 10DLC-registered or toll-free verified. WhatsApp isn't supported here at all.
There's also no per-workflow customization out of the box. Different messages for different call types, or a follow-up that routes to a team member instead of just texting back, aren't options inside the setting itself.
That version has to be built inside a workflow started from one of GoHighLevel's own templates instead.
For businesses that live or die on phone volume, text back is usually a floor rather than a ceiling. A workflow automation build can route a missed call by time of day or caller history.
Some teams skip the text entirely in favor of a voice AI agent that picks up and qualifies the caller on the spot, the way one home services operation built its dispatch process around voice AI instead of a single automated reply.
