GoHighLevel Workflow Testing: What to Check First

A workflow that fires the wrong text to a lead costs more than an awkward apology. It costs the appointment, sometimes the whole relationship, before anyone on your team even knows it fired.

That's what GoHighLevel workflow testing is built to catch, and HighLevel bakes the tooling directly into the workflow canvas instead of leaving you to guess.

Every workflow in the builder sits in one of two states: draft or published. While it's in draft, the workflow won't enroll any live contacts.

The Test Workflow button next to that status toggle still runs the whole sequence end to end, using a contact you choose from the "Run A Test For Contact" panel rather than a real lead.

Why GoHighLevel workflow testing needs a real contact, not a sample

Use a record carrying your own phone number and email for that test contact.

A generic sample name won't surface what actually breaks: a merge field that resolves blank, a text that reads "Hi {{contact.first_name}}" because the field was never mapped, a confirmation email that lands in spam instead of the inbox.

Branch logic deserves the same treatment. If a workflow branches on whether a contact replies, test both sides of it. Reply once to walk the "yes" path, then send a second test contact through who never replies at all, and watch the "no" branch run out its own timer.

A branch you didn't test is a branch you find out about from a client instead of from a log.

Reading the execution logs instead of guessing

GoHighLevel's own support documentation on the custom webhook action is blunt about the sequence: trigger the action on a sample record while the workflow is still in draft, then open Execution Logs to confirm it fired and check the status code that came back.

The log tells you why something failed. It won't tell you that something's wrong unless you go look.

For a webhook specifically, point the test call at a tool like Webhook.site or Postman before it ever touches a production endpoint, so you can see the full payload rather than assume it's shaped the way you think.

Any delay step between actions is worth watching in a test run too, since a delay configured in the wrong unit won't throw an error. It just sits there, quietly wrong, until a contact waits three days for something that was supposed to take three hours.

What changes once contacts stop being hypothetical

The Advanced Builder's Stats Mode gives a live workflow a scoreboard: attempted, matched and unmatched contacts against each trigger, counted over the last 30 days of enrollment activity.

It's a record of what already happened, not a substitute for testing before you publish.

Re-entry settings are worth a second look before you publish, not after.

HighLevel's own troubleshooting guidance says to test with a fresh contact first, then compare that against live behavior if the workflow acts differently once real contacts move through it. A handful of checks catch most of what goes wrong:

  • Confirm every merge field and every branch with a test contact that carries real data, not a placeholder.
  • Walk each if/else path deliberately, including the one you expect nobody to take.
  • Check the execution logs for skipped steps or failed actions before you publish, not after.
  • Verify re-entry and trigger filters match how contacts actually move through your pipeline.

Publishing isn't the finish line. Pull up the execution logs again after the first real contacts hit the workflow, because live data turns up edge cases a single test contact never will.

If you'd rather have someone who tests these builds for a living handle it, that's exactly what our workflow automation team does for agencies running HighLevel day to day, often alongside a broader GHL setup and configuration project.
