How GoHighLevel Email Marketing Actually Works

Most complaints about GoHighLevel email marketing trace back to one of two places: a send that went out at the wrong hour, or a domain that was never authenticated properly. The editor itself rarely causes the problem.

GoHighLevel ships a drag-and-drop builder, a template library, and scheduling that covers both one-time broadcasts and sequences triggered inside workflows. What actually breaks a campaign sits around that editor, not inside it. Get the engagement data and the domain records right, and the editor mostly takes care of itself.

Building a GoHighLevel email marketing campaign

A campaign starts under Marketing, Emails, Templates. Pick a design from the template library or start from scratch, then open it in the email editor to adjust text, images, and layout.

GoHighLevel's Email AI tool can draft or rewrite sections while the suggestions sit docked beside a live preview, according to the platform's own campaign launch guide.

Campaign creation itself happens under Marketing, Emails, Campaigns: select a template, choose the audience, and set tracking. Four scheduling options exist, send now, schedule, batch, or RSS.

Before any of that goes out, a test copy can go to a single recipient first. That step is how a broken merge field or a missing image gets caught before it reaches a real list.

Automated sequences work differently. They live inside workflows, firing off a trigger like a form submission, a booked appointment, or a tag getting added. From there the workflow steps a contact through emails over days or weeks.

A lead nurturing sequence and a re-engagement sequence for contacts who've gone quiet both run on this same workflow logic. Only the trigger and the message order change.

Smart Send decides when to hit send

Smart Send replaces guessing at optimal send times with a model built from 60 days of recipient behavior. It weighs opens by hour of day, clicks, and how a send performed against that location's own historical average, as GoHighLevel's Smart Send documentation describes it.

Where an hour lacks enough data, the model widens its window until it clears a confidence threshold rather than filling in a guess.

It only switches on once a location has delivered at least 1,000 emails in that 60-day window. Below that, the option stays greyed out.

Once live, the campaign summary reports engagement lift against the location's own baseline rather than an outside benchmark. It doesn't yet account for a contact's individual time zone, and for now it only works on standard campaigns, not A/B tests or batch sends.

Deliverability is a domain problem, not a template problem

A well-designed email still lands in spam if the sending domain isn't authenticated. Setting up a dedicated sending domain in GoHighLevel's LC Email requires five DNS records, per the dedicated domain setup guide.

RecordHow manyWhat it does
TXT (SPF)1Lists which servers can send mail for the domain; the value reads v=spf1 include:mailgun.org ~all
TXT (DKIM)1Unique per domain, signs outgoing mail so a receiver can verify it wasn't altered
MX2Both point to mxa.mailgun.org and mxb.mailgun.org at the same priority
CNAME1Points to mailgun.org

A root domain already running Google Workspace can't also host these records. GoHighLevel requires a subdomain instead in that case.

Propagation usually finishes within minutes, though GoHighLevel notes it can occasionally stretch to 48 hours.

None of this is optional anymore. Microsoft's Outlook has required SPF, DKIM, and DMARC since May 5, 2025 for any domain sending more than 5,000 messages a day, according to MailTester's domain authentication guide.

It rejects non-compliant mail outright rather than filtering it to a spam folder.

A subdomain used only for marketing sends also keeps a complaint against a newly warmed sender from touching the reputation of the root domain a company uses for everyday email.
