How GoHighLevel Review Request Automation Works
A GoHighLevel review request automation runs on the same Workflows engine as every other sequence in the account. You drop a "Send Review Request" action into a workflow, pick Email or SMS, and the contact's assigned user becomes the sender if one exists.
Three ways exist to send a request, and only one is actually automated. A quick-action shortcut handles a one-off manual send. The Reputation tab's Requests screen sends and tracks individual requests by hand. Only the workflow action actually removes a person from the loop.
How GoHighLevel Review Request Automation Actually Fires
A few things need to be in place first. Review requests have to be switched on in sub-account settings, and a GoHighLevel setup needs a Google Business Profile connected to the right location, or a third-party review URL as a fallback.
Sending email through SMTP means the sender address has to match the logged-in user's own email, or the send fails.
Each request then moves through one of four statuses: queued while the system works through a backlog, sent once it goes out, delivered for SMS only, since Twilio confirms that and most email providers don't, or failed when the contact's details were bad.
HighLevel's documentation on sending review requests walks through each one.
Setting the Message, the Timing, and the Retries
SMS and email aren't configured the same way. The SMS side gives you a template name, the message text, an optional image sent as MMS, a default sender number, and control over timing and repeat frequency.
Email gets more room: a drag-and-drop builder for branding and buttons, a default sender address, and its own subject line per message in the sequence.
Whichever channel you pick, the review destination itself comes from one merge field, {{reputation.review_link}}, so nothing needs retyping if that destination changes later.
| Setting | SMS | |
|---|---|---|
| Initial delay | Customizable, down to immediate | Customizable, for example a 1-hour wait |
| Repeat interval | Configurable in days | Configurable in days |
| Image support | Optional, sent as MMS | Native, built into the template |
| Sequence control | Live message plus retry slots | Live message plus retry slots |
Treat that retry cadence with the same care as any other wait step in a workflow. Send too soon and the customer hasn't processed the job yet. Space retries too far apart and the request feels forgotten.
HighLevel's guide to customizing these messages sets no hard cap on retries, so the count is whatever the workflow builder decides.
What Happens to a Review After It Lands
Once a request lands a review, the Reputation Overview dashboard is where it shows up. Average rating is just total stars divided by total reviews, inside whichever window you select.
Invite Goals climb as milestones are hit, then raise themselves automatically, and a bar graph called Review Trends tracks monthly volume.
Reviews without written comments still get sorted. HighLevel's dashboard documentation explains that sentiment is read straight off the star count when there's no text: four or five stars reads as Positive, three as Neutral, one or two as Negative.
The reviews this process collects don't have to stay inside the CRM. A review widget pulls from Google and Facebook into one branded display, with a Minimum Ratings setting that hides anything under a chosen star threshold.
It drops onto a HighLevel-built site directly, or onto any other site through an embed code pasted into a custom HTML block.
None of this replaces the logic behind it. A request firing from a workflow template built for appointment or payment events sits inside the same workflow automation an agency sets up for the rest of a client's pipeline, not as a separate tool bolted on afterward.
