GoHighLevel Sales Pipeline: How Stages Actually Work

Every deal moving through GoHighLevel sits inside one record called an opportunity. That opportunity lives in exactly one stage of one pipeline at a time.

A GoHighLevel sales pipeline is really just the ordered list of stages an opportunity passes through, from first contact to a closed deal. Get that structure wrong, and the automation built on top of it misfires every time a deal moves.

The hierarchy runs in one direction, and GoHighLevel's own setup guide for pipelines and opportunities lays it out plainly: a contact gets attached to an opportunity, the opportunity sits inside a pipeline, and the pipeline holds the stage.

A contact named John Smith might have an opportunity in a Sales Pipeline sitting in a Booked Call stage. That one chain is what every automation trigger and API integration here hangs off, including the kind of GoHighLevel CRM setup work that still holds up months later.

How a GoHighLevel Sales Pipeline Gets Built

Setting one up starts in the same place every time. Open the sub-account, go to Opportunities, then Pipelines, and click Create new pipeline. Give it a unique name, since no two pipelines in a sub-account can share one.

Stages get added the same way, with unique names required too. Reorder them with arrows, control which ones show up on dashboard and reporting views, and give each a color as a background, a dot, or a tint.

GoHighLevel's guide to creating pipelines confirms Won and Lost stages are created automatically, with no manual setup needed. Delete a stage later, and GoHighLevel now asks you to pick a destination stage for anything sitting inside it, rather than losing those records outright.

Opportunities get into a stage in one of three ways: manual entry, a CSV import during a migration, or a workflow that creates and updates them automatically when something happens, like a form submission or a tag landing on a contact.

Most teams don't pick just one. GHL setup and configuration work usually ends up using a mix of all three, manual entry for one-off deals and automation for anything that repeats.

What Happens When a Deal Moves

The stage itself is only half the job. What fires the moment an opportunity leaves one stage and lands in another is the Pipeline Stage Changed trigger, inside Automation > Workflows.

  • Assigned To, for a specific rep's opportunities
  • Tag, for opportunities carrying a particular label
  • In Pipeline, to scope it to one pipeline only
  • Lead Value, for deals above or below a threshold
  • Lost Reason, for a specific reason a deal was marked lost
  • Pipeline Stage, for movement into a particular stage
  • Status, for Open, Won, Lost or Abandoned

From there it can send a notification, update the opportunity, create a follow-up task, or kick off another workflow entirely.

A deal moving from Negotiation to Closed Won can notify finance the same minute it happens. A lost reason of Budget Constraints can trigger a cheaper offer instead. That pattern, a stage change triggering someone's next step, is what we build into a client's intake process.

None of this requires touching an ID. GoHighLevel lets you pick pipelines and stages by name instead.

An opportunity's ID shows up on the record itself or at the end of its URL. Pipeline and stage IDs come from an opportunities export instead.
