GoHighLevel Smart Lists: How They Work and What They Do

A GoHighLevel smart list adds and drops contacts on its own the moment a tag, a custom field, or an activity date changes. That's the opposite of a static list that only moves when someone edits it by hand.

A list built around no activity in 60 days keeps catching contacts who go quiet weeks later, not just the ones already cold on day one. The same mechanic shows up on contacts, opportunities, and companies, so the filters you learn once carry over.

How GoHighLevel Smart Lists Filter Your Contacts

Setting one up starts in Contacts, then Smart Lists, where "+ Add smart list" opens a panel of filters on the right. Pick one, a tag or a custom field, hit Apply, and the list already shows every match.

Adding a second condition with the AND option narrows it further, so a list can target a specific tag, no activity in 60 days, and a particular area code, all at once.

That's per GoHighLevel's documentation on creating and managing smart lists. The filter options cover most of what the platform tracks about a contact:

  • Tags and custom fields
  • Email opens, clicks, and SMS activity
  • Funnel and page views, appointment status, and pipeline stage
  • Last activity date and geographic data

Once set, nobody has to touch the list again. A lead that picks up a tag shows up without anyone refreshing the view, and one that stops qualifying drops off the same way.

Contacts can't be added by hand, since filters are the only way in, and a smart list can't move to another account or get pulled into a snapshot. A cloned sub-account rebuilds its lists from nothing.

Opportunity Smart Lists Save an Entire Pipeline View

An opportunity smart list saves something broader than a filter: the filters applied, the sort order, which fields show, and whether it opens as a table or a board, per GoHighLevel's guide to opportunity smart lists.

List view lays deals out in a table, good for comparing fields across many records. Board view keeps the kanban layout teams use for moving deals through a pipeline's stages, and an icon beside each saved list shows which type it is.

Building one starts inside a pipeline: click "+ List", choose List or Board, apply filters, set a sort order, and pick visible fields.

It can then cover every pipeline or stay locked to the one it was built for, and become the default view everyone lands on.

Sharing works at two levels. View-only access lets someone see the filtered deals, while full edit access lets them adjust the filters too.

Results also export to CSV, handy for handing a pipeline snapshot to whoever is building automated follow-up, without giving them edit access to the pipeline itself.

Company Smart Lists Follow the Same Pattern

Company smart lists exist for sub-accounts using the Companies object, and work almost identically to the opportunity version. A list here stores the advanced filters applied, the sort order, and which fields are visible, per GoHighLevel's documentation on company smart lists.

Creating one means going to Contacts, then Companies, clicking +List, applying filters such as companies not updated recently or high-value accounts, naming it, and saving. Companies move in and out automatically as field values change, with no manual refresh needed.

Sharing a company list works the same two-tier way as pipeline views. View-only access lets someone open and use the list as built, while edit access lets them change the filters and sharing settings themselves.

That distinction matters once more than one person is building views, since nobody wants a shared dashboard rewritten by accident. A Manage All screen lists every saved smart list with who created or last updated it.

That's worth checking against who actually has edit access before handing a sub-account to a new hire.
