How the GoHighLevel Conversation Module Works
Every inbound text, email, Facebook DM and Instagram message to a GoHighLevel sub-account lands in one place: the GoHighLevel conversation module. It's a four-panel inbox built around a single thread, not four separate tools bolted together.
Switch from a text reply to an email inside the same conversation, and the whole history stays in view. Calls that tie back to the number that took them, voicemails, WhatsApp messages and internal notes all stack under one contact.
Inside the GoHighLevel Conversation Module's Four Panels
The four-panel layout splits into an inbox panel, a chat list, a message history pane and a contact panel on the right.
Toggling between My Inbox, Team Inbox and Internal Chat means a rep sees only what's assigned to them, while a manager still sees everything coming in.
Sorting and bulk actions live in the chat list: mark a batch of threads read, star the ones needing a callback, or clear out the rest without opening a single one.
On the right, custom fields, activity history and payment details load for whoever you're talking to, assuming a sub-account's pipelines and fields are already set up.
HighLevel says this layout runs about 70% faster than the old version, with browser memory down from roughly 1.7 GB to 0.45 GB, useful for an agency that keeps the inbox open all day.
Filters and bulk actions for a crowded inbox
Once an inbox holds more than a handful of threads, filtering decides who finds anything. HighLevel's conversation filters run on tags, assignment, mentions and message direction, combined with AND/OR logic across groups.
| Filter | What it isolates |
|---|---|
| Assigned | Conversations owned by a specific rep or the logged-in user |
| Mention | Conversations where a teammate was @mentioned |
| Last Message Direction | Inbound replies from contacts versus outbound sends |
| Last Message Channel | SMS, email, calls, WhatsApp, Facebook, Instagram or GBP specifically |
Selecting a batch of threads brings up a toolbar for marking them read or unread, starring the ones worth a second look, or deleting the rest outright. Deleted conversations don't come back, so a large batch deserves a second glance first.
Turning response time into something you can measure
A Conversation SLA is a countdown clock on each incoming thread, not a report that only shows up after the fact. HighLevel's SLA setup lets you pick one universal response-time target or a different one per channel, with separate thresholds for "due soon" and "overdue" shown as orange and red indicators in the chat list.
Two settings decide how honest those numbers end up: whether an automated workflow message pauses the clock, and whether a reply from Conversation AI counts as a valid response.
Get that pairing wrong, and the report tells a manager everything's fine while contacts actually wait on a human. Nail it, and sorting by longest SLA overdue becomes the most useful view in the inbox for a growing team.
Where the AI add-ons fit, and where they don't
The conversation module itself is manual tooling: panels, filters, SLAs, bulk actions. Reading and replying with AI sits on a separate layer above it.
HighLevel draws a clear line between Conversation AI, Managed Agents and Ask AI. Conversation AI answers contacts across SMS, email, Facebook, Instagram, WhatsApp and web chat. Managed Agents automate workflows off CRM events, and Ask AI is a copilot for whoever's logged in, not the contact on the other end of the thread.
That distinction is worth knowing before a chat thread goes quiet and nobody can explain why. How Conversation AI actually replies inside the inbox is worth understanding on its own terms, especially once a bot moves from drafting replies for approval to running on Auto-Pilot.
Scheduling works the same way: how the booking bot is configured decides whether a contact gets a confirmed slot or a human follow-up, and that's worth checking before turning any of it loose on a live inbox.
